Privacy policy

We are The Softball Forum ("we", "our", "us"). We are committed to protecting and respecting your privacy. This Privacy Policy explains the types of information we collect, how we use it, and the choices available to you when using our website and services ("Service"). If you have questions about your personal information or this policy, please contact us.

Information we collect

Depending on how you use the Service, we may collect or process information including:

  • Your username.
  • Your email address.
  • The location you provide during registration or through your profile.
  • Your IP address and related network information.
  • Information you voluntarily add to your profile.
  • Content you submit, including forum posts, threads, reactions, attachments, profile content, reports, and other contributions.
  • Communications you send through features of the Service.
  • Technical information such as browser type, device information, referring pages, access times, and activity associated with use of the Service.
  • Security and anti-spam information generated when registering for or using the Service.

We generally collect this information when you register for an account, use or browse the Service, submit content, update your profile, contact us, or interact with features of the Service.

How we use your information

We may use information collected through the Service to:

  • Create, maintain, and administer your account.

Your IP address may be recorded when you register or perform certain actions on the Service. Your IP address is not ordinarily displayed publicly.

Public content and profile information

The Softball Forum is a community forum. Information that you intentionally post publicly, including forum posts, threads, usernames, profile information, images, attachments, reactions, team information, tournament information, and other contributions, may be visible to other members and, depending on the area of the Service and your privacy settings, to visitors who are not registered.

Publicly available content may also be discovered through search engines or shared by other users outside of the Service. You should not post information that you do not want made public.

Location information

We may require users to provide a location when registering. This is intended to provide useful geographic context for community discussions, including team searches, tryouts, tournaments, leagues, and other softball-related opportunities.

You should provide only the level of geographic detail reasonably necessary for this purpose, such as a city, town, region, province, or state. You should not use the location field to publish a home address or other precise private location information.

Children and youth privacy

The Service is not available to users below the minimum age specified during registration.

Because the softball community includes youth athletes, users should take particular care when sharing information about minors. Do not post private or sensitive information about a youth athlete, including home addresses, private contact information, school schedules, travel or accommodation details, medical information, or other information that could reasonably compromise their privacy or safety.

Parents and guardians should consider the privacy implications before posting information, photographs, videos, or other content concerning a minor.

Security, CAPTCHA and spam prevention

We use security and anti-abuse measures to help protect the Service and its users. Information associated with registrations or activity on the Service may be checked or processed by security, CAPTCHA, spam-prevention, hosting, and related service providers.

We use Cloudflare Turnstile to help distinguish legitimate visitors from automated or abusive activity. In connection with this process, technical and security information may be processed by Cloudflare.

We may also use spam-prevention services, including Stop Forum Spam, and DNS-based reputation or blocklist services to identify registrations or activity associated with known or suspected spam and abuse. Information used for these checks may include usernames, email addresses, IP addresses, and related registration or security information where applicable.

Results from security and anti-spam systems may cause a registration or account to be reviewed, moderated, restricted, or rejected.

Direct messages

The Service may allow members to communicate using direct messages. Direct messages are not displayed publicly like forum posts. However, they should not be treated as a secure or confidential communications system.

Direct messages may be reported to staff by participants and may be accessed, processed, or reviewed where reasonably necessary for moderation, safety, security, abuse prevention, technical operation, or compliance with applicable law.

Do not use direct messages to transmit highly sensitive or confidential information.

Email and notifications

We may use your email address to provide account-related communications such as email confirmation, password recovery, security information, or notifications you have chosen to receive.

If optional news or update emails are offered, you may manage those preferences through your account settings where available.

Cookies and similar technologies

Cookies are small pieces of data stored by your browser that allow us to provide functionality such as keeping you logged in, remembering preferences, maintaining security, and operating the Service.

For more information about cookies used by the Service, please review our cookie information.

Service providers

We may use third-party service providers to operate, secure, host, maintain, or support the Service. These providers may process limited information where necessary to perform services on our behalf or provide functionality used by the Service.

We do not sell your personal information to advertisers.

Keeping your information secure

We use reasonable administrative and technical measures intended to protect information under our control against unauthorized access, disclosure, alteration, or loss. However, no website, network, or online service can guarantee absolute security.

You are responsible for maintaining the confidentiality of your account credentials and should use a strong, unique password for your account.

Data retention

We may retain account information, content, security records, moderation records, and technical information for as long as reasonably necessary to operate the Service, maintain community integrity, prevent abuse, resolve disputes, enforce our Terms and Rules, comply with legal obligations, and maintain appropriate records.

Deleting an account does not necessarily require the removal of every forum contribution or record associated with that account. Public discussions may need to remain intact so that conversations involving other users continue to make sense. Where appropriate, account information may instead be removed, anonymized, or disassociated from retained content.

Your choices and requests

You may be able to review or change certain account and privacy settings through your profile and account preferences.

You may contact us to ask about personal information associated with your account, request correction of inaccurate information, or make a request concerning deletion or access to your personal information.

Requests will be considered in accordance with applicable law and legitimate requirements relating to security, moderation, recordkeeping, legal obligations, and preservation of community discussions.

Third-party links

Users may post links to websites or services operated by third parties. We are not responsible for the privacy practices, security, availability, or content of third-party websites. You should review their policies before providing personal information to them.

Acceptance of this policy

By registering for or continuing to use the Service, you acknowledge this Privacy Policy. Where consent is required for particular processing, we will seek it as required by applicable law.

If you do not wish to use the Service under this Privacy Policy, please do not register for or continue using the Service.

Changes to this policy

We may update this Privacy Policy as the Service develops, our practices change, or legal requirements change. When appropriate, users may be notified of material changes or asked to review an updated policy.
